Billing, Credits & Spend Limits
Your billing profile is personal to your account — it is not attached to any single workspace. This guide explains what you can change here, and how it differs from the per-workspace budget that administrators control.
Profile → Billing in the ToothFairyAI app. The billing profile is shared by every workspace you own, so changes here apply account-wide.
Account billing vs workspace budget
ToothFairyAI has two distinct budget layers. Knowing which is which is the key to controlling spend:
| Account billing (this page) | Workspace budget (Admin → General settings) | |
|---|---|---|
| What it is | Your payment profile: pre-paid credit balance, recharge rules and a monthly spend cap | A usage budget (in UoI) allocated to one workspace |
| Scope | All workspaces you own — one balance, one cap across every root workspace and its children | A single workspace family (a root workspace and its child workspaces) |
| Who changes it | You, from your profile | Workspace Root and Super Admin users |
| What happens when hit | Workspaces are paused until you recharge or a new cycle starts | The workspace family is paused until the budget is raised or the cycle resets |
| Currency | USD ($) | Units of Intelligence (UoI) — 1 UoI = $0.01 |
Credits and caps live on your profile. Budgets live on the workspace. You pay for consumption out of your account credit balance; each workspace can only consume up to the UoI budget its administrator allocated.
Credits & limits
The Credits & limits section of the billing page shows your live balance and the two controls that govern automatic top-ups and maximum spend.

Credit balance
Your pre-paid balance, shown in both USD and Units of Intelligence (UoI). Credits never expire and are debited as your agents run. When the balance reaches $0, all workspaces you own are paused until you recharge.
A low balance indicator appears in the top bar when your balance drops to $10 or less, nudging you to top up before agents stop.
Recharging credits
Click Recharge to open the recharge sheet:
- Preset packs — $20, $50, $100 or $200
- Custom amount — any amount from $5 (minimum) up to $10,000
- Payment is collected securely through Stripe Checkout; the credit is added to your balance as soon as the checkout completes
If you complete payment in an external browser (for example from the Desktop app), use the Refresh button at the top of the billing page to re-sync your balance immediately.
Auto-recharge
Auto-recharge keeps your agents running without manual top-ups. When enabled, Stripe charges your default payment method off-session whenever your balance falls to or below the threshold, and adds the configured amount to your balance.
| Setting | What it does | Default |
|---|---|---|
| Enabled | Turns automatic top-ups on or off | Off |
| Threshold | Balance at which the top-up triggers | $5 |
| Amount | How much is added per top-up | $25 |
Auto-recharge charges your default payment method. If no card is saved, auto-recharge can never fire — add a payment method first (see below).
Monthly spend cap (account level)
The spend cap is a hard monthly ceiling on total consumption across every workspace you own — including all root workspaces and their child workspaces. It is the outer guard rail on your account:
- Set any monthly maximum from $5 upwards, or leave it unset for no cap
- When your combined consumption for the current billing cycle reaches the cap, all of your workspaces are paused
- Paused workspaces resume automatically when the next billing cycle starts (or when you raise or remove the cap)
- The cap can never be set above the $10,000 maximum
The spend cap limits how much you consume per cycle; your credit balance is what you have already paid. A cap of $50 with a $200 balance still stops consumption at $50 of usage in the cycle.
The consumption cycle is a fixed 30-day window anchored per workspace — not a calendar month. Cap and budget resets follow that window.
Saving your changes
Spend cap and auto-recharge changes are saved together with a single Save button. The button is disabled until one of the two values actually changes.
Payment methods
The Payment method section manages the cards Stripe keeps on file:
- Add a card — opens the secure Stripe card element
- Set as primary — promotes a card to the default payment method used for auto-recharge and invoice payment
- Remove — detaches a card; the last remaining card cannot be removed so your account always keeps one on file
Multiple cards are kept as backup payment methods for auto-recharge failover.
Accounts that sign in through Single Sign-On (SSO) cannot register payment methods. Contact your workspace administrator for billing arrangements.
Billing details
The billing details sent to Stripe and shown on your invoices:
- Name — the name on the billing profile
- Address — street, city, state/postcode and country
- Business details — optional business name and tax ID (VAT, ABN, EIN, GST and 15+ other formats supported). Invalid tax IDs are rejected by Stripe and flagged without failing the rest of the save.
You can also open the Stripe customer portal from here to manage invoices and receipts directly in Stripe.
Billing history
A unified list of your recharges and invoice payments, newest first, with pagination via Load more. Invoices can be downloaded and paid securely through Stripe.
