Topics

Topics are required so an AI agent can speak about specific documents and or related information. Topic selections allow for more control with an agent and specifies what its knowledge base consists of. To get you started there are 3 topics already created; PRIVATE, PUBLIC and WEBSITE.

Topics can be created and or edited from the following menu: Settings > Topics > Create Topic

Smart Topic Filtering

Every Operator agent now features intelligent topic filtering capabilities. When an agent is assigned to multiple topics, it automatically attempts to dynamically filter topics based on their descriptions to ensure optimal retrieval scoring from the knowledge hub. This conservative mechanism preserves topics when their descriptions aren't clearly unrelated to the user's request, maximizing the relevance of retrieved information.

More about Topics

Topics are basically tags which are associated to an agent. You can think of topics as categories or a semantic grouping that is assigned to an agent so it has knowledge about a specific topic.

Topics are also used to categorise documents which are uploaded to the Knowledge hub or domains that get synced within workspace.

The items assigned to those topics will be referenced by the agent which has those topics associated with it provided they are set to Published status.

Agents will not discuss details about topics that it is not assigned to. This feature was a deliberate decision to increase data security so an individual agent will only have knowledge and access to other topics set by workspace administrators.

Agents will only be able to read documents set to published and suspended. All other statuses make the document inaccesible to an agent. Users have the option to change the status of a document. More details about these statuses can be found from the More about Knowledge hub section.

Using Topics as Agent Groups

As well as controlling an agent's knowledge, topics are used to group agents into logical departments or categories — for example Sales, Support, Engineering, or Marketing. This makes it easier to find and manage related agents in a crowded workspace.

A topic used as an agent group carries the same fields as any topic: a name, description, colour, and emoji. The colour and emoji are used to visually identify the group throughout the app.

Assigning an agent to a group

  1. Open the agent's create or edit form
  2. Locate the Group dropdown
  3. Select a topic to use as the group, or choose No group to leave the agent ungrouped
  4. Save the agent

The Group dropdown lists every topic in your workspace. If no topics are available, create one first under Settings > Topics > Create Topic.

Grouping an agent (the Group field) is separate from the agent's knowledge filtering (its assigned topics). Assigning a group does not change which documents the agent can access.

Where groups appear

In the Chats sidebar, agents that share a group are nested under a collapsible group row. Each group row shows:

  • The group's emoji and name (for example 🛟 Support)
  • A member count in parentheses, e.g. (3)
  • A users icon tinted with the group's colour

Expand a group to see its agents and their conversations. Agents you've marked as favourites are always shown above the groups, and any ungrouped agents appear after the grouped ones.

What can be grouped

Only agents can be assigned to a group. Tools (functions) and hooks (execution environments) cannot be grouped in the workspace UI.
